We understand there are many questions when planning your event. Below are a few of the frequent questions asked from our clients as they consider Boulder Country Club.
Does Boulder Country Club have a minimum for each room?
We require an $9,000 food and beverage minimum for all Saturday events in peak season, May-September. Off peak season and Sunday minimum vary by date and time of event. If the total bill fails to meet these minimums, then the final bill will be adjusted accordingly.
What is the deposit requirement and cancellation policy?
To host a wedding at Boulder Country Club, we require a deposit equal to $1,000 at time of booking, and the balance will be due within 7 days of the event. For all other events, 10% of estimated cost or $1,000, depending on event size. All deposits and payments are non-refundable and will be credited towards your event. In the event of a cancellation, deposits may be applied towards cancellation fees. Cancellations less than 90 days prior to the event will be charged 75% of estimated cost for original reservation. Cancellations within 30 days prior to the event will be charged 100% of the estimated cost of the original reservation.
What is the length of time for my function and what space is available?
All functions will be booked at a maximum of five hours. If additional time is requested, the charge is $2.00 per person per half hour (based on the guarantee or actual attendance, whichever is greater). Reserved space is exclusive tot he party contracted. It is the responsibility of the host/hostess to ensure that all guests remain in the reserved private areas. Function time is defined as beginning of event to end of event.
Do I have to provide a guarantee?
An approximate guest count is required at the time of booking. Confirmation of the number of guests attending and meal selections are required three business days prior to your function. The Club will be pleased to set and prepare 5% over the guarantee for a function of less than 100 guests and 4% over the guarantee for functions of 100 guests or more. If a meal guarantee is not given, the Club will set based on the last available written estimate. Any requests, and or changes, made to the event after the 72 hour deadline will incur a $3 per person up charge. The final bill will be based on the guarantee or actual attendance, whichever is greater. Meals for children under the age of 12 years old are at a lower cost depending on menu selections. All attendees under 21 years old are not charged for the alcohol included in our bar packages.
What is your policy on liability?
Boulder Country Club assumes no liability for the damage or loss of any article or merchandise before, during or following any event at the Club. Any damage to the premises attributed to your event or action by your guests will be the responsibility of the host. All needed repairs will be handled through Club approved vendors and charged appropriately.
What are options for business meetings?
Boardroom groups with up to 10 attendees may order off the a la carte menu. Groups of 10-20 attendees will be given limited ala carte menus and any group 20 or larger must pre-order 48 hours in advance from the banquet menu selections. Room rental fees do apply, see below.
Do I have to be a member to hold an event at Boulder Country Club?
Boulder Country Club is happy to host non-member events.
What is the payment policy?
Full payment is required within 7 days of the event. Boulder Country Club accepts cash and check only as a form of payment.
Do you charge room fees?
BCC members are not subject to room rental fees, however minimum requirements still apply. Non Member room rental charges are as follows:
Foothills Room $250.00
Fireside Room $400.00
Fireside Room & Foothills Room combined $650.00
Can I provide my own alcohol?
Colorado State Law regulates the sale and service of all alcoholic beverages. Alcoholic beverages may not be brought onto or removed from Club property, Sale to alcohol to persons under 21 years of age is prohibited. Boulder Country Club reserves the right to refuse service to any guest without valid identification, to any guest supplying alcohol to minors, or to any guest who appears to be intoxicated.
Does the Club offer a ceremony option?
An on site wedding ceremony is available upon request. The ceremony does not count against the 5 hour function length. Setup/rental charges of $500 will apply.
